Privacy Policy

Dentasist, LLC ("Dentasist", "we", "us") provides a platform that helps dental practices run their operations: nightly practice analytics, morning action lists, patient follow-up, call answering and booking, and financial reporting. This policy explains what information we collect, how we use it, and the choices you have. It covers this website (dentasist.ai) and the Dentasist platform.

Information we collect

Website visitors. Browsing this site requires no account. We store your theme preference (light or dark) in your browser; it never leaves your device. If you book a demo, your name, email address, and chosen time are processed by our scheduling provider to set up the meeting.

Customer accounts. When a practice signs up, we collect account details for its team members: name, work email address, and role, plus the settings the practice configures.

Practice data. With the practice's authorization, Dentasist connects to the practice's own systems (its practice management software and, optionally, its accounting software) to do its job. This data belongs to the practice. We process it on the practice's behalf to provide the service, and each practice's data is kept isolated from every other practice.

Patient and caller information. When Dentasist answers calls or makes follow-up contact for a practice, it processes the information involved in that work, such as caller details, appointment requests, and call notes, on behalf of the practice and under its direction. The practice decides who on its team sees what.

QuickBooks Online data

A practice owner may choose to connect the practice's QuickBooks Online company to Dentasist. The connection is made through Intuit's official authorization flow (OAuth), and we access data only through Intuit's official API. When connected, we retrieve:

  • Company information and the chart of accounts
  • Account balances and profit-and-loss reports
  • Transaction detail needed to present and reconcile those reports

We use this data for one purpose: showing the practice its own financial picture inside Dentasist. We do not sell QuickBooks data, do not share it with other practices, and do not use it for advertising. Connection credentials are stored securely on our servers and are never exposed in the browser. The practice can disconnect QuickBooks at any time from its Dentasist settings or from Intuit's connected-apps page; on disconnect we revoke our access with Intuit and stop syncing, and we delete the practice's QuickBooks data on request.

Google user data

A practice may choose to connect its Google Analytics account to Dentasist. The connection is made through Google's official sign-in flow (OAuth), using the permission the practice grants there, and our access is read-only. When connected, we retrieve Google Analytics data for the practice's own website — traffic, visitor, and acquisition reports — and use it solely to display website performance insights inside Dentasist for that practice.

We store the connection credentials encrypted, scoped to the individual practice. We do not sell Google user data, do not share it with third parties except the service providers that operate Dentasist, do not use it for advertising, and no humans read it except with the practice's permission for support, or for security and legal compliance.

The practice can disconnect Google Analytics at any time from its Dentasist settings or from its Google Account security settings; on disconnection or account deletion we delete the stored credentials and associated Google data within a commercially reasonable period.

Dentasist's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Text messaging

Dental practices using Dentasist may communicate with their patients by SMS text message — for example appointment confirmations, reminders, scheduling, and answers to questions patients text to the practice's number. Patients consent to these messages by texting the practice first or by providing their mobile number and consent when registering with or booking with the practice.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with, or sold to, any third parties. Information shared with service providers strictly necessary to deliver messages (such as our telecommunications provider) is used only for that purpose.

Patients can opt out of text messages at any time by replying STOP to any message, and can reply HELP for assistance. Opt-outs take effect immediately.

Dentasist tester and platform-notification messages. Dentasist LLC also sends text messages directly to its own team members and authorized testers who enroll in our platform testing program — for example, simulated appointment confirmations and test conversations used to verify our product before release. Enrollment is by written consent at dentasist.ai/tester-sms-consent. Message frequency varies; message and data rates may apply. Reply STOP to opt out or HELP for help. The same data practices apply to this program: no mobile information will be shared with third parties or affiliates for marketing or promotional purposes, and opt-in data and consent will not be shared with, or sold to, any third parties.

How we use information

  • To provide, maintain, and improve the Dentasist service
  • To communicate with practices about their account and the service
  • To secure the platform and prevent misuse
  • To meet legal obligations

We do not sell personal information, and we do not use customer or patient data to train models for other customers.

How we share information

We share information only with service providers that help us run Dentasist (such as infrastructure hosting, email delivery, and demo scheduling), and only as needed for them to perform those services. We may also disclose information if the law requires it, or as part of a merger or acquisition, in which case this policy continues to apply to the data.

Security

Data is encrypted in transit. Each practice's data is isolated at the database level, access inside Dentasist is role-based and controlled by the practice, and integration credentials are held server-side only. No system is perfectly secure, but we design for the sensitivity of the data practices trust us with.

Retention and deletion

We keep customer data for as long as the practice uses Dentasist. When a practice leaves or asks us to delete its data, we delete it within a commercially reasonable period, except where the law requires us to keep specific records.

Your choices

Practices control their integrations and can disconnect them at any time. To access, correct, or delete information, or to ask any question about this policy, contact us at support@dentasist.ai. If you are a patient of a practice that uses Dentasist, your practice controls your information; contact the practice directly, and we will support their response.

Changes to this policy

If we make material changes, we will update this page and revise the effective date above.
